Job Description Summary
The Executive Secretary to C.-Suite Executives is a highly skilled professional responsible for providing top.-level administrative support to executive management. This role requires exceptional organizational, communication, and multitasking skills to manage complex schedules, coordinate meetings, and handle confidential information. The Executive Secretary acts as a key liaison between the executive team and internal/external stakeholders, ensuring smooth operations and effective communication. The position demands a high level of professionalism, discretion, and the ability to work under pressure while meeting tight deadlines.

- Develop and implement efficient administrative processes to support the strategic goals of the executive teamAct as a trusted advisor to the CSuite providing insights and recommendations to improve operational efficiencyBuild and maintain strong relationships with internal and external stakeholders to foster collaboration and alignment with organizational objectivesSupport the executive team in preparing for highlevel meetings including board meetings and strategic planning sessions

Operational Roles & Responsibilities
- Manage and maintain the daily schedules and calendars of CSuite executives ensuring all appointments meetings and deadlines are effectively coordinated
- Arrange and oversee travel plans including booking flights accommodations and transportation while preparing detailed itineraries
- Prepare proofread and edit reports presentations and correspondence for the executive team
- Attend meetings take minutes and follow up on action items to ensure timely completion
- Maintain and organize electronic and paper records ensuring information is easily accessible and secure
- Handle incoming and outgoing correspondence prioritizing and responding on behalf of the executives when appropriate
- Monitor office supplies and coordinate with vendors to ensure costeffective procurement
- Oversee the implementation of administrative policies and recommend improvements as needed
- Act as a gatekeeper for the executive team managing access to their time and attention
- Address and resolve customer or stakeholder issues escalating to executives when necessary
Minimum Education Required
Bachelor’s degree in Business Administration, Management, or a related field.
Professional Certifications Required

Years of Experience
Minimum 4 years of relevant experience in an Administrative or Executive support role.
